Terms & Conditions
Clear rules for schools, individual teachers and staff using RewardClass Schools. Pupil access is set up and supervised through a teacher or school.
1. Who these terms apply to
RewardClass Schools (the “service”) is operated by RewardClass (“RewardClass”, “we”, “our”). These terms apply to School Admins, staff and individual teachers who register for or use the service, as well as to their organisations where they are authorised to act on the organisation’s behalf. Pupil accounts are managed by their school or teacher and are not separate paid customer accounts.
Please read these terms together with the Privacy Notice, Children’s Privacy Notice, and Cookie Notice.
2. Accounts, authority and access
You must provide accurate account details and protect login credentials, invitations and pupil access codes. Do not share staff passwords or impersonate another user. Tell us promptly if you suspect unauthorised use.
Anyone creating a school workspace must have authority from the school, or obtain its approval before adding pupil information. A School Admin manages staff access, classes and relevant school permissions. An individual teacher must have permission from their school or other appropriate authority before processing pupil information in the service.
Account roles are not interchangeable: joining a school as a teacher does not automatically provide School Admin rights. Schools should promptly remove staff access when it is no longer authorised.
3. Lessons, quizzes, challenges and teacher judgement
RewardClass provides a common library of English and Mathematics learning content, alongside teacher-created assignments, quizzes, challenges and homework features. International year-group labels describe approximate age-equivalent groups. They are not a guarantee that each resource meets a specific local or state curriculum standard.
Teachers decide whether a lesson, answer key, quiz, challenge, uploaded resource or suggested activity is suitable for their class, pupils, curriculum, accessibility needs and learning stage. Automated marking is a support tool and does not replace professional judgement.
Teachers must not upload content they are not permitted to use. The service must not be used to bully, shame, publicly embarrass or improperly profile pupils, or to post unlawful, discriminatory, exploitative or otherwise harmful material.
4. Pupils, safeguarding and School Points
Schools and teachers are responsible for pupil supervision, appropriate classroom access, safeguarding decisions, and obtaining any notices, permissions or authorisations required by applicable law. Please use the minimum pupil information needed. Do not use ordinary homework fields to store medical records, detailed safeguarding reports or other unnecessary sensitive information.
School Points, badges and milestones are educational recognition within the service, not cash or stored monetary value. They cannot be exchanged with RewardClass Schools for money. Any separate class incentives organised by a school are the school’s responsibility.
5. Free trials, plans and billing
Where an eligible trial is offered for a country and plan, the duration and eligibility conditions appear during registration or plan selection. A trial is time-limited, not a permanent free subscription. The current card-free trial does not automatically start a paid subscription when it ends. Continued access after the trial may require selecting a paid plan.
Paid plans are offered to individual teachers or schools where published for the selected country. Before checkout, the applicable price, currency, billing interval, and recurring nature of the subscription are displayed. The final Stripe checkout details take precedence over any illustration or out-of-date public-page amount. Applicable taxes, where charged, are shown in checkout or billing records.
Paid subscriptions are processed using Stripe and may renew until cancelled. Authorised billing users can manage payment methods and cancellation through the available Stripe billing portal. A cancellation normally ends future renewals; the current paid period and any refunds depend on the checkout terms, applicable law and the subscription’s status. Contact support if you cannot access billing controls or have a payment dispute. Simply stopping use of RewardClass does not necessarily cancel Stripe billing.
Trial eligibility may be limited to first use by a particular account or school. Plans are offered only in countries where the relevant price and access are configured; we will not invent or apply a foreign price when one has not been published.
6. Access when a subscription ends
When a trial or subscription ends, the service may limit access to paid teacher or school features. Ending paid access does not itself mean pupil or classroom records are immediately deleted. Export, retention and deletion arrangements are subject to the school’s instructions, technical capabilities, applicable law and the Privacy Notice.
7. Ownership and uploaded materials
RewardClass or its licensors retain intellectual-property rights in RewardClass-created software, learning materials, branding and designs. You receive a limited, non-exclusive, non-transferable right to use them within the service for authorised educational purposes. Do not redistribute or commercially resell the library without permission.
Teachers and schools retain rights they hold in original materials they upload or create. They give us the limited rights needed to store, display, transmit, back up and process those materials to provide and protect the service. You must have rights to any materials you upload.
8. Privacy and school data
Our processing of account, billing, classroom and pupil information is explained in our Privacy Notice. Where RewardClass acts as a data processor on a school’s instructions, a separate written school data-processing agreement may be required; these public terms do not replace such an agreement. Schools remain responsible for their own notices and lawful bases where they act as controllers.
9. Acceptable use and security
You must not bypass access controls, scrape large amounts of content, attempt to obtain another pupil’s or school’s records, interfere with the service, deploy malware, or exploit vulnerabilities. We may suspend access where reasonably necessary for security, pupil protection, legal compliance or serious violations of these terms; we will give an explanation or opportunity to remedy where appropriate.
10. Service availability and changes
We seek to provide a reliable service but cannot guarantee continuous access or error-free materials. We may repair, update, secure, improve or discontinue functionality. If a material change affects purchased features or important user rights, we will give reasonable notice when practicable and comply with applicable consumer or contract rights.
11. Responsibility and liability
RewardClass supplements teaching; it does not replace a teacher’s judgement, school safeguarding policies, mandatory curriculum duties or statutory obligations. Nothing in these terms limits liability where the law prohibits it, including for fraud, fraudulent misrepresentation or death or personal injury caused by negligence. Any limitations otherwise apply only to the extent permitted by applicable law.
12. Changes, ending use and legal acceptance
We may update these terms for changes to the product, legal requirements, security or business operations. The version and date appear above. Material updates may be communicated to account holders; new registrants accept the current terms. If you close an account or school workspace, please contact us about any records that need export or deletion rather than assuming cancellation instantly removes records.
13. Governing law
These terms are governed by the laws of England and Wales, subject to any non-excludable rights and mandatory protections applying in a customer’s country. Courts with jurisdiction under applicable law may hear disputes.
